Abu Dhabi office moves are scheduled around the business, not the mover

Almost every commercial move we run in Abu Dhabi happens outside working hours — evenings, or across a Friday and Saturday — so the office is trading normally on Monday. That is the whole point of a properly planned office move, and it is what separates it from a residential job of the same volume.

Buildings on the Corniche, Al Maryah Island and Al Reem generally require the move to be registered with building management, with crew details submitted in advance and the service lift booked for a defined window. ADGM buildings on Al Maryah add their own access process, which needs several working days.

IT comes out last and goes in first

The sequence that keeps downtime short is always the same. Furniture and storage move first, IT last out of the old premises and first into the new, so servers, switches and workstations are back online before staff return. Cables are labelled at both ends and workstations reassembled to a floor plan agreed beforehand.

How Abu Dhabi office moves are quoted

Office moves are quoted on a walk-through, not by floor area. The variables that actually move the price are workstation count, IT complexity, whether storage and archives are coming, and how tight the access window is. A 40-desk office with a two-hour lift window costs more than the same office with a full weekend.

Archives and furniture that are not needed immediately can go into storage rather than into the new premises, which is usually cheaper than taking a larger unit.

What is included in an Abu Dhabi office move

Quotes cover the pre-move survey and floor plan, crates and labels for staff to pack personal effects, dismantling and reassembly of desks and storage, protected transport, IT disconnection and reconnection, placement to the agreed plan, and removal of crates afterwards.

Quoted separately: archive storage, secure document destruction, specialist server handling where a vendor must supervise, and any building-imposed supervision or out-of-hours access fee, which we pass through at cost rather than marking up.

Planning the downtime

The realistic downtime for a well-planned Abu Dhabi office move is one non-working day. A Friday-Saturday move means staff leave on Thursday and return Sunday to a working office. Compressing a move into a single evening is possible for small offices but carries real risk on IT, and we will say so rather than agree to it.

We agree the floor plan before the move so desks and storage land in the right place first time. Re-siting workstations afterwards is the single largest avoidable cost on an office move.

What about ADGM buildings on Al Maryah? They need crew clearance submitted several working days ahead. We handle the submission, but it cannot be rushed on the day.

How an Abu Dhabi office move runs, step by step

1. Walk-through. We survey both premises, count workstations, identify IT and server requirements, and agree what is moving versus what is being stored or disposed of.

2. Floor plan agreed. Every desk and storage unit is assigned a destination before the move. This is what prevents a second day of re-siting furniture.

3. Building approvals. We register the move with both buildings, submit crew details for clearance where required, and book the lift windows at each end.

4. Staff crates. Labelled crates are delivered ahead so staff pack their own desks. Personal effects moving in named crates is the single biggest reduction in post-move complaints.

5. The move itself. Furniture and storage first, IT last out and first in. Systems are reconnected and tested before we leave.

6. Return to work. Crates are collected a few days later once staff have unpacked, rather than left cluttering the new floor.
